You’ve surely tried some artificial intelligence assistant and been surprised by how well it writes. You’ll also have noticed that, when you ask it something specific about your business, it makes things up or answers with generalities. That’s normal: that assistant doesn’t know your company.

There’s a way to fix it, and it has a name: RAG. It’s probably the most practical and secure way to take advantage of AI in an SME. Let’s explain it without the jargon.

The problem: the AI knows nothing about your business

An AI assistant has learned by reading enormous amounts of general text from the internet. It knows a lot about the world, but it hasn’t seen your procedures manual, nor your contracts, nor your product catalog.

When you ask it “what warranty do we offer on product X?”, it has nowhere to draw the right answer from. And here comes the danger: instead of saying “I don’t know”, it sometimes responds with a made-up answer that sounds convincing. That’s called a “hallucination”, and in a business it can prove costly.

The solution: give it your documents to consult

RAG stands for “retrieval-augmented generation”. It sounds complicated, but the idea is common sense. It works in two steps:

  • Retrieve: when someone asks a question, the system first searches your documents for the fragments that relate to that question.
  • Generate: it passes those fragments to the assistant and asks it to answer based only on them, citing where the information comes from.

It’s the difference between asking someone from memory and letting them consult the filing cabinet before answering. With RAG, the assistant stops improvising and starts answering with your real information.

Without RAG, the AI answers what it believes. With RAG, it answers what’s in your documents. That’s the whole difference.

What it’s useful for day to day

The applications are very concrete and useful for any SME:

  • Internal customer service: a new salesperson asks “what’s the returns policy?” and gets the exact answer from your manual, in seconds.
  • Contract lookup: instantly finding what a specific clause says among hundreds of documents.
  • Technical support: answering product questions by consulting the official spec sheets and manuals.
  • Onboarding: letting new people resolve their doubts by asking, instead of interrupting a colleague twenty times a day.

In every case the assistant cites the source, so anyone can check the answer. It’s not a black box.

The most important point: your documents don’t have to leave your company

Here’s the question every manager should ask: if I’m going to give the AI my contracts and my procedures, where do those documents end up?

With many commercial solutions, your documents are uploaded to third-party servers. For a company with sensitive information, that’s a risk and a tie-in.

The alternative we advocate is to build the assistant with open-source software, running on your own server. Your documents don’t leave home, you keep full control, and you’re not tied to any vendor’s pricing. The AI works for you, not the other way around.

Getting started is easier than it seems

You don’t need to digitize your entire company to begin. It’s enough to choose a specific set of documents (for example, the product manuals or the internal policies) and build the assistant on top of them. Once it works and the team trusts it, you add more sources.
